Planning a group trip to Bali: a simple step-by-step guide

In short: To plan a group trip to Bali, fix your dates and group size first, then choose an area to stay, the right vehicle for your group (a car for up to 4, a HiAce for up to 12, a Coaster for up to 19, buses beyond that) and 2–3 activities per day. Book hotels and transport early, keep one person as the contact, and agree a clear per-person budget.

Group trips are the best kind of travel — and the easiest to over-complicate. These steps keep it simple.

1. Dates and group size

Agree the dates first and get a rough headcount. Group size decides almost everything else: rooms, vehicles, restaurants and price per person.

2. One base or two?

For 3–5 days, one base is easiest — Ubud for culture and nature, or the south (Seminyak, Nusa Dua, Jimbaran) for beaches and nightlife. With a week, split the stay between the two.

3. The right vehicle

1 – 4Private carComfortable, one seat kept for the guide
5 – 12Toyota HiAceRoom for everyone and the luggage
13 – 19Coaster minibusOne vehicle keeps the group together
20 – 49Small, medium or big busSimple timing, one pick-up

4. Plan the day around traffic

Traffic in south Bali is slow. Pick 2–3 places per day that are close together, start early, and let guests staying in different areas know their own pick-up time. Budget for entrance fees too.

5. Budget per person

Agree a per-person budget early. The good news: transport, guides and many activities cost the same for the group, so the price per person drops as the group grows.

6. One contact person

Choose one organiser to talk to the tour company. It avoids mixed messages, and the organiser can share updates with the group. Make sure everyone has their visa, tourist levy and arrival card sorted before the flight.
